You can always feel confident about submitting your personal data to us. The aim of this Privacy Policy is to explain how we ensure that your personal data is processed in compliance with the latest data protection legislation.

Personal data controller

Zetup is the data controller for Zetup’s processing of your personal data and is responsible for ensuring that such processing complies with the relevant legislation.

Personal data and processing of personal data

Any kind of information that directly or indirectly relates to an identifiable living person counts as personal data.

Processing of personal data is everything that happens to that personal data. Processing means any operation or set of operations which is performed on personal data or on sets of personal data, whether or not by automated means, such as collection, recording, organisation, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction.

  • Are a Zetup supplier
  • Are involved in Zetup’s recruitment process or if you are applying for an internship

What personal data do we process? 

Zetup’s customers
The personal data that Zetup collects and processes about you in your capacity as a contact person for an existing customer is:

  • Name, job title/role, company, phone number, e-mail.

Zetup’s suppliers
The personal data that Zetup collects and processes about you in your capacity as a Zetup supplier is:

  • Name, job title/role, company, phone number and e-mail, plus corporate ID numbers for trading companies or sole traders.

Potential recruits or interns at Zetup

The personal data that Zetup collects and processes about people who are in Zetup’s recruitment process or who submit an application for an internship is:

  • Name, personal ID number, address, phone number, e-mail, driving licence, language skills, previous and current employment, education and any criminal record.

Interested in or potential customer of Zetup

The personal data that Zetup collects and processes about people who are interested in Zetup/potential customers of Zetup is:

  • Name, job title, company, phone number, e-mail.


Why do we process data about you?

Zetup customers 

Zetup is the data controller only for the personal data where Zetup determines the purpose for which it is processed. In cases where Zetup processes personal data for the customer, where the customer’s organisation determines the processing, Zetup acts based on a data processor agreement applicable at the time and its associated instructions.

As controller, Zetup processes your personal data for various purposes, but mainly in order to:

  • Fulfil our obligations to you as our customer, such as purchasing and invoicing.
  • Facilitate customer care and customer service, such as answering questions and correcting incorrect data. Provide information and invite you to relevant events via e-mail.
  • Comply with relevant legislation, including accountancy legislation.

Zetup suppliers
Zetup processes the personal data of its suppliers mainly in order to:

  • Be able to place orders in cases where this is done via a contact person at the suppliers. Fulfil our obligations to our suppliers, such as making payment where reference to a contact person is required.
  • Comply with relevant legislation, including accountancy laws.

Potential recruits or interns at Zetup
If you are applying for work or an internship at Zetup, the purpose of processing your personal data is mainly to:

  • Conduct a recruitment or internship process that is fit for purpose and complies with the relevant legislation.
  • When submitting an application, you must actively consent to the processing of your personal data. This step clearly explains how your personal data will be processed, how you can change it and erase it and how you can withdraw your consent. Without your consent for this data processing, you will be unable to apply for a job/internship.

Interested in/potential customer of Zetup
Zetup processes the personal data of its interested parties/potential customers mainly in order to:

  • Be able to provide relevant information about Zetup as a company and our services.
  • The means by which we receive the personal data that we process about interested parties/potential customers varies, but the main ways are:
    • You submit an enquiry via the contact form on Zetup’s website.
    • You submit an enquiry via e-mail.
  • In order to be able to offer our services to companies that do not know us, we collect the contact details of key personnel at companies that we want to contact for marketing purposes. Channels for collecting such details for companies of interest may include market surveys, customer networking, the company’s website and LinkedIn.

Legal grounds for our processing of personal data

Zetup always processes your personal data in compliance with the prevailing legislation. We process your personal data when it is necessary to fulfil an agreement with you and when we have some other legitimate and justifiable interest in processing your personal data, such as an interest in giving you information about requested service areas or invitations to relevant events.

If Zetup wishes to process your personal data for some other purpose that requires your consent under the prevailing legislation, we will seek your consent in advance. At that time, we will explain in simple and factual terms what the consent means and what you should do if you do not want to give your consent or if you want to withdraw your consent.

How long do we keep data about you?

Your personal data will be kept only for as long as is necessary in order to fulfil the purposes for which the data was collected in line with this Privacy Policy. Zetup may keep the data for longer if it is needed in order to meet legal requirements or to protect Zetup’s legal interests, for example if legal action is ongoing.

As a general rule, Zetup will keep personal data that occurs in:

Customer and supplier agreements and information about commercial activities, such as information on time reports, assignments, invoices and bookkeeping, during the period of the agreement, and when an agreement with a customer expires, under Swedish law we must still retain certain information for a further seven (7) years after provision of the service.

Application and recruitment processes, for two (2) years.

Contact details for interested parties/potential customers; these are saved in our CRM system and after each scheduled contact, at least once a year, a review is carried out as to whether the contact should remain in or be deleted from the system.

When it comes to press contacts, data is automatically erased when the person unsubscribes from notifications of press information. When information is received about a change, or at least once a year, Zetup will go through the list and review whether the contact should remain in or be deleted from the system.

To whom does Zetup disclose personal data?

Zetup has no intention now or in the future of selling, leasing or marketing your personal data to a third party.

Personal data may be disclosed by Zetup if this is necessary to comply with prevailing legislation or statutory requirements, in order to protect Zetup’s legal interests or to uncover, prevent or highlight fraud and other security or technical problems.

Amending the Privacy Policy

Zetup may make changes to this Privacy Policy from time to time. The most recent version of the Privacy Policy will always be available on Zetup’s websites.

Protection of your personal data

You can always feel confident about submitting your personal data to us. Zetup ensures that your personal data is kept highly secure and takes appropriate technical and organisational security measures to protect your personal data from unauthorised access, alteration, dissemination or destruction.

Right to information and right to make a complaint

Zetup is responsible for ensuring that your personal data is processed in compliance with the relevant legislation.

At your request or on its own initiative, Zetup will correct, anonymise, erase or supplement information that is discovered to be incorrect, incomplete or misleading.

Under the provisions of prevailing data protection legislation, you have the right at any time to request access to the personal data that is held about you, to have incorrect personal data rectified, to demand that Zetup stops processing and erases your personal data, to have the processing of your personal data restricted, to exercise your right to data portability, and to object to the processing of your personal data. You are also entitled to lodge a complaint with the data protection regulator at any time, if you believe that your personal data has been processed in breach of the prevailing data protection legislation. In Sweden, the regulator is the Data Protection Authority.
